Why dental offices miss calls
Everyone is with a patient
The front desk is checking someone in, and the dentist and hygienists cannot pick up with a patient in the chair. The phone rings out, and a caller who gets no answer usually tries the next practice on the list.
New patients call after hours
People look for a dentist in the evening or at the weekend, when the office is closed. A voicemail box asks them to wait. An assistant that answers can book the first free slot while they are still on the line.
Cancellations leave empty chairs
A slot that opens up and is never refilled is lost income. When a patient calls to cancel or move an appointment, the agent changes the booking and tells you straight away, so the time can be offered to someone else.
The same questions, all day
Opening hours, parking, which insurance you take and whether you are accepting new patients. Each call takes your team away from the person at the desk. The agent answers them in your words.
Example call to Bright Smile Dental
- Assistant: Hi, you've reached Bright Smile Dental. I'm an AI assistant. How can I help?
- Caller: I'd like to book a cleaning. I haven't been before.
- Assistant: Welcome. I can book you as a new patient. Do you have a day in mind?
- Caller: Early next week, before work if possible.
- Assistant: Tuesday at 7:45 with Dr. Patel is open. Shall I book it?
- Caller: Yes please.
- Assistant: You're booked for Tuesday at 7:45, and I've noted you're a new patient. Anything else?
- New patient booked: Tuesday 7:45
- Added to Google Calendar
- Summary sent to the front desk on Slack
What it does for a dental office
Books and moves appointments
Checks your calendar and books cleanings, check-ups and consultations straight into Google Calendar or Outlook, and works with Cal.com and Calendly. It can move or cancel a booking when a patient asks.
Answers the usual questions
Opening hours, address and parking, which insurance plans you accept, whether you are taking new patients and what a first visit involves. You write the answers, so it says what you would say.
Calls patients back
Places reminder calls before appointments and follow-up calls to patients who missed one. Anyone who asks not to be called again is never called again.
Hands over to your team
When a caller asks for a person, or the question is one only the dentist can answer, it can transfer the call to a number you choose, or take a message and tell you about it.
Tells you what happened
Every call comes with a transcript, a short summary and the outcome, sent to Slack, Microsoft Teams, Telegram, WhatsApp, text message or email. Calls can also be logged in HubSpot, Salesforce or a Google Sheet.
You decide what it asks and says
We suggest keeping the agent to booking and general questions: a name, a phone number and the reason for the visit, with clinical questions left to your team. Recording is off until you turn it on.
Questions from dental offices
Can it book appointments in my calendar?
Yes. It books, moves and cancels appointments in Google Calendar and Outlook, and works with Cal.com and Calendly. It checks your calendar first, so it offers times that are free.
Does it connect to my dental practice software?
It connects to calendars, and to tools such as HubSpot, Salesforce, Google Sheets and Zapier, Make and n8n. It has no direct link to dental practice-management systems today. If your team books in a calendar the agent can write to, it books there.
What happens with a dental emergency?
WePickUp is not an emergency service. You tell your agent how to treat urgent calls: give your urgent-care instructions, transfer to an on-call number you choose, or point the caller to the emergency services.
Can it tell callers which insurance we accept?
If you give it the list, yes. For anything it is not sure of, it says so, takes a message and tells your team.
Will patients know it is an AI?
Yes. It says so in its first sentence on every call, and it will tell anyone who asks. It never pretends to be a person.
Are patient calls recorded?
Only if you switch recording on. When it is on, the agent reads a notice before recording starts. A written transcript is kept either way, so you can see what was said.
How much does it cost for a dental office?
Pay as you go is $0.20 a minute with no monthly fee, so a quiet phone costs only the minutes used. Busier offices use Small ($59 a month, 300 minutes included) or Medium ($249 a month, 1,500 minutes included). Each phone number is $1 a month, and the first 60 minutes are free.
